The information we handle depends on your relationship with SSMF and may include:
- names, contact details, dates of birth, nationality and identification or eligibility records;
- club, player, coach, referee, official and competition registration information;
- team selections, appearances, results, statistics, disciplinary records and accreditation details;
- account details, roles, sign-in records and actions taken in the administration platform;
- documents, photographs or other materials submitted for registration and federation activities;
- messages, enquiries, complaints and safeguarding reports; and
- basic technical information needed to operate, secure and troubleshoot the website.
Please provide only information that is accurate, relevant and lawful to share. Clubs and authorised users who submit information about another person are responsible for having an appropriate basis to do so.
Purpose
How we use information
We use information to register and verify participants; manage clubs, competitions, fixtures, match officials, results, statistics and discipline; publish appropriate sporting records; communicate official notices; protect participants and systems; respond to enquiries; keep audit records; and meet legitimate governance or reporting duties.
Public sporting information may include a participant’s name, club, squad details, match involvement, results, statistics, sanctions and approved photographs. Sensitive identification, private contact details and account credentials are not intended for public display.
Sharing
Who may receive information
Access is limited according to role and operational need. Information may be shared with authorised SSMF personnel, registered clubs, competition organisers and match officials where necessary. We may also use trusted technology or storage providers to operate the platform.
We may disclose information where required by law, to protect someone from harm, to investigate misconduct, or to establish or defend legal rights. We do not sell personal information.
Protection
Security and retention
SSMF uses access controls, authenticated accounts, activity records and other reasonable organisational and technical measures to protect information. No online system can be guaranteed completely secure.
We retain information only for as long as it remains necessary for federation administration, sporting records, safeguarding, dispute resolution, audit or legal obligations. Retention periods vary by record type. Records may be restricted, anonymised or deleted when no longer required.
Children
Children and young participants
Information about children and young participants must be handled with particular care. Registration should be completed or authorised by a parent, guardian, club or other responsible adult where required. SSMF limits publication to information appropriate for sporting administration and safeguarding, and concerns may be raised under our Safeguarding Policy.
Your choices
Access, correction and deletion
You may ask us to explain the information we hold about you, correct inaccurate information, restrict its use or delete it where appropriate. Some records may need to be retained for competition integrity, safeguarding, legal or historical purposes.
To make a request, email ssdminifootballfd@gmail.com with enough detail for us to identify the relevant record. We may ask for proof of identity before acting.
